Automation and AI are different
Automation follows defined rules: when a form is submitted, create a contact and send a confirmation. AI can help interpret, summarise or draft information when rules are insufficient. A small combination often works well; every step does not need AI.
1. Faster enquiry handling
A contact form can organise enquiries, collect relevant details and send a clear confirmation. The business can receive an internal notification and a reminder when an enquiry has not been followed up within an agreed time.
2. Follow-up with less manual chasing
Quote reminders, return-visit messages and relevant email workflows can follow the customer’s status. Messages must be clear, and a person must be able to take over the conversation.
3. Booking and administration
Information needed before a visit can be collected automatically, booking details passed into a workflow and the team given the right information in time. A useful solution reduces duplicate work without creating a harder system to use.
Choosing the first process
- Choose a frequently repeated task.
- Estimate the time or opportunities currently lost.
- Document how the process works today.
- Automate one small, well-defined step first.
- Test exceptions, error messages and a manual fallback.
Do not automate an unclear process. First define a useful response, the correct status and a successful outcome.
Consider quality and data
Avoid sending sensitive information to tools without appropriate agreements and controls. Limit access, document the workflow and keep decisions requiring human judgment with a person. Learn about AI and business automation.
